Georgia-Pacific has an exciting opportunity for a qualified Department Assistant to support the Maintenance Reliability Department at our Palatka, FL facility.  Located just south of Jacksonville and west of St. Augustine, FL, the Palatka mill employs about 850 people has three tissue paper machines as well as several converting lines and produces consumer tissue products such as bath tissue and paper towels sold under the Georgia-Pacific brand names of Angel Soft®, Quilted Northern®, Brawny®, and Sparkle®. 

 

The Department Assistant will support will the Maintenance and Reliability team and report to the site Maintenance and Reliability Manager. A successful candidate will have   excellent critical thinking and decision-making skills, the ability to organize and prioritize multiple tasks, be self-directed and will challenge the status quo to improve efficiencies.

 

 

A Day in the Life Typically includes:

  • Provide administrative support for a team of 185 employees
  • Support an environment where the team achieves zero incidents in Environmental, Health and Safety
  • Collaborate with all members of the department and flow to the most critical work identified
  • Utilize Outlook to assist team members in scheduling meetings and conference rooms and collaborate with other mill areas when conflicts arise
  • Prepare/receive/deliver mail and other communications
  • Handle travel arrangements for team members’ various business trips and conferences
  • Coordinate all aspects of company sponsored functions and host visitors
  • Assist with creating purchase requisitions, contracts, and manage invoices
  • Procure office supplies and reconcile purchasing card statements on a monthly basis
  • Coordinate new hire on-boarding needs for the group
  • Work with team members to prepare materials and visual aids to support the shift teams
  • Administer compliance programs and manage department files, including, but not limited to:
    • Records and Information Management (RIM)
    • Archiving of asset database files
    • Health, Safety and Reliability key metric reporting
    • Weekend duty rosters
    • Daily department overtime management
    • Wireless device management
  • Assist in preparation of professional correspondence and memos to internal and external customers as necessary

 

What will you need:

Basic Qualifications: 

  •      High school diploma or GED
  •     Experience using Word, PowerPoint, Outlook, and Excel
  •     A minimum of three (3) years of experience as an administrative assistant, project administrator or office manager
  •     Experience communicating with all levels within an organization; written and verbal
  •      Experience handling confidential and sensitive materials and information

Preferred Qualification:


·    Associates degree 

·    A minimum of five (5) years of administrative experience in a manufacturing environment

·    Experience as a Paralegal or Office Manager
